StenoScout ("we," "us," or "our") operates the website stenoscout.com (the "Site"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit the Site, submit a quote request, claim a business listing, or otherwise interact with our services. Please read this policy carefully. By using the Site, you consent to the practices described in this Privacy Policy.

1. Information We Collect

a. Information from Attorneys and Site Visitors

When you use our "Request a Quote" forms, we collect the following information you voluntarily provide:

  • Full name
  • Email address
  • Phone number
  • Case details and project description
  • Preferred dates and location

We do not require you to create an account to browse the directory or submit quote requests.

b. Information from Service Providers (Listed Businesses)

When court reporters claim or manage their listings, we may collect:

  • Business name, address, phone number, and website
  • Contact name and email address (used for magic link authentication)
  • Business description, service areas, and specializations
  • Uploaded photos and media
  • Certifications, credentials, and professional affiliations

c. Business Listing Data from Public Sources

StenoScout compiles business listing information from publicly available sources, including but not limited to:

  • Google Maps and Google Business Profiles
  • Professional registries, licensing boards, and trade associations
  • Publicly available business directories and review platforms
  • Public-facing business websites

This publicly sourced data may include business names, addresses, phone numbers, websites, service descriptions, review ratings, and other information that businesses have made publicly available. We aggregate and organize this information to help attorneys find qualified court reporters.

d. Automatically Collected Information

When you visit the Site, certain information may be collected automatically:

  • Log data — IP address, browser type, operating system, referring URL, pages visited, and timestamps (collected by our hosting provider, Cloudflare)
  • Session cookies — Used for provider dashboard authentication (see Section 4)
  • Analytics data — If enabled, Google Analytics (GA4) may collect anonymized usage data such as page views, session duration, and general geographic location

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Facilitating connections — Forwarding your quote request details to the court reporter(s) you select so they can respond to your inquiry
  • Operating the directory — Maintaining accurate, up-to-date business listings for court reporters across the United States
  • Provider authentication — Sending magic link emails to verify provider identity when claiming or managing listings
  • Transactional communications — Sending quote request confirmations, claim verification emails, and listing update notifications
  • Improving the Site — Analyzing aggregated usage patterns to improve content, navigation, and user experience
  • Legal compliance — Responding to legal requests, enforcing our terms, and protecting our rights

We do not use your personal information for advertising, profiling, or automated decision-making.

3. How We Share Your Information

We do not sell your personal information. We share information only in the following limited circumstances:

  • Quote requests — When you submit a quote request, your name, email, phone number, and case details are forwarded to the selected court reporter(s) so they can respond to your inquiry. Once shared, that provider's use of your information is governed by their own privacy practices.
  • Service providers — We use third-party services to operate the Site (see Section 9). These providers process data on our behalf and are contractually obligated to protect your information.
  • Legal requirements — We may disclose information if required by law, subpoena, court order, or governmental regulation, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfers — In the event of a merger, acquisition, or sale of all or a portion of our assets, personal information may be transferred as part of that transaction. We will notify affected users of any change in ownership or control of their personal information.

4. Cookies and Tracking Technologies

The Site uses a minimal number of cookies:

  • Session cookies (essential) — When court reporters log in to manage their listings via magic link authentication, we set a session cookie to maintain their authenticated state. These cookies expire when the browser session ends or after a set period of inactivity.
  • Cloudflare cookies (essential) — Our hosting provider, Cloudflare, may set cookies for security purposes (e.g., bot detection and DDoS protection). These are strictly necessary for the Site to function.
  • Analytics cookies (optional) — If Google Analytics (GA4) is enabled, it may set cookies to collect anonymized usage data. Google Analytics data is used solely to understand aggregate usage patterns and improve the Site. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

We do not use advertising cookies, retargeting pixels, or social media tracking scripts. Our client-side search (powered by Pagefind) operates entirely in your browser and does not transmit search queries to any server.

5. Data Retention

  • Quote requests — Quote request data is forwarded to the selected provider(s) and retained in our systems for up to 12 months to handle disputes or follow-up inquiries, after which it is deleted.
  • Provider accounts — Provider listing data is retained for as long as the listing is active. Providers may request deletion of their account and associated data at any time (see Section 7).
  • Business listing data — Publicly sourced business information is retained and periodically updated for as long as the business appears to be active. Businesses may request removal at any time (see Section 7).
  • Server logs — Cloudflare server logs are retained according to Cloudflare's data retention policies.
  • Analytics data — If Google Analytics is enabled, data is retained for up to 14 months per Google's default settings.

6. Your Privacy Rights

a. All Users

Regardless of where you reside, you may:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate personal information
  • Request deletion of your personal information
  • Withdraw consent for future communications

To exercise any of these rights, contact us at contact@stenoscout.com. We will respond to verified requests within 30 days.

b. California Residents (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA) provide you with additional rights regarding your personal information:

  • Right to Know — You have the right to request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources from which it was collected, the business purpose for collecting it, and the categories of third parties with whom we share it.
  • Right to Delete — You have the right to request the deletion of personal information we have collected from you, subject to certain exceptions permitted by law.
  • Right to Correct — You have the right to request correction of inaccurate personal information we maintain about you.
  • Right to Opt-Out of Sale or SharingWe do not sell or share your personal information for cross-context behavioral advertising. Because we do not engage in these activities, there is no need to opt out.
  • Right to Non-Discrimination — We will not discriminate against you for exercising any of your CCPA/CPRA rights.

To submit a CCPA request, email contact@stenoscout.com with the subject line "CCPA Request." We will verify your identity before processing your request and respond within 45 days as required by law.

7. Business Listing Data: Corrections and Removal

StenoScout aggregates business information from publicly available sources to help attorneys find qualified court reporters. We strive to keep all listings accurate and current.

If you are a business owner or authorized representative, you may:

  • Claim your listing — Verify your identity and take control of your listing to update business details, add photos, and manage your profile
  • Request corrections — Ask us to correct any inaccurate information displayed on your listing
  • Request removal — Ask us to remove your business listing from the directory entirely

To request a correction or removal, email contact@stenoscout.com with your business name, the URL of the listing in question, and the nature of your request. We will process correction and removal requests within 5 business days.

8. Children's Privacy

The Site is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information as quickly as possible. If you believe a child under 13 has provided us with personal information, please contact us at contact@stenoscout.com.

9. Third-Party Services

We use the following third-party services to operate the Site. Each has its own privacy policy governing data it processes:

  • Cloudflare — Website hosting, content delivery network (CDN), DNS, and security services. Cloudflare Privacy Policy.
  • Amazon Simple Email Service (SES) — Transactional email delivery for quote request notifications, magic link authentication, and listing claim communications. AWS Privacy Notice.
  • OpenStreetMap / Leaflet — Interactive maps displaying provider locations. Map tiles are loaded from OpenStreetMap tile servers, which may log your IP address. OpenStreetMap Privacy Policy.
  • Google Analytics (GA4) — If enabled, anonymized website usage analytics. Google Privacy Policy.

We do not use any advertising networks, social media plugins, or third-party tracking services beyond those listed above.

10. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information, including encrypted connections (HTTPS/TLS) for all data transmitted to and from the Site, secure email-based authentication for provider accounts, and access controls limiting who can view personal data within our systems.

However, no method of transmission over the internet or method of electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we make material changes, we will update the "Last Updated" date at the top of this page. We encourage you to review this Privacy Policy periodically.

If we make changes that materially affect how we handle personal information you have previously provided, we will make reasonable efforts to notify you (such as by posting a prominent notice on the Site).
